Overview

An AI assistant is a language model connected to your business systems with permission to act on your behalf. Ours process email, query databases, update records, call APIs and complete the kind of multi-step work that would otherwise sit in a queue waiting for someone to pick it up. You keep full visibility through a complete log of every action taken.

We build these for clients across the UK and we run them within our own agency first. One manages WordPress across a portfolio of client sites through natural language instruction. Another operates over Telegram, taking requests and carrying them out across a self-hosted infrastructure. Running assistants on our own systems gives us a practical understanding of how they behave in daily use.

Autonomy is set to whatever level suits you. At one end the assistant prepares work and waits for your approval on everything. At the other it operates independently and reports on a schedule. Most clients begin with approval in place for anything touching customers or money, then extend its remit as the audit log builds confidence. We agree these boundaries with you and establish the escalation route before anything goes live.

Assistants suit work that involves judgement and varies from case to case. Where a task follows the same steps every time, our business process automation service delivers it more efficiently, and we will point you there when that is the better fit.

What’s included
01

Connected to Your Systems

The assistant connects to your CRM, inbox, accounting system and databases through secure APIs, so it completes the task within your existing systems.

02

Autonomy You Control

You decide how much the assistant handles independently, from requesting approval on every action through to running unsupervised with regular reporting. The setting is yours to change at any point.

03

Escalation to Your Team

Where a task falls outside the boundaries you have set, the assistant passes it to a colleague with the full context attached, so the work continues smoothly.

04

Complete Audit Trail

Every decision, action and outcome is recorded, giving you a complete account of what the assistant has done and the reasoning behind it.

05

Cost-Efficient Model Routing

We route straightforward steps to efficient models and reserve the frontier models for work needing careful reasoning, which keeps your running costs proportionate.

How we deliver

Our AI Assistants for Business Process

01

Step 1: Select the Right Task

We identify a task with enough repetition to justify the investment and enough variation to benefit from an assistant. Starting with a well-chosen single use case is what makes these succeed.

02

Step 2: Agree the Boundaries

We agree what the assistant may read, what it may change and which actions require your approval, documented before any development begins.

03

Step 3: Build and Test

The assistant is connected to your systems and tested against real data in approval mode, so you can review what it proposes before it acts.

04

Step 4: Supervised Launch

It goes live with approval required on every action. You review the log and see exactly how it handles your work before extending its remit.

05

Step 5: Extend Autonomy

As the log demonstrates consistent handling, we widen its permissions on the actions you are comfortable delegating, at whatever pace suits you.

Client work

What this looks like in practice

We built an assistant that takes natural language requests over Telegram and carries them out across a self-hosted infrastructure, connecting a dozen services that were never designed to work together. It began as an internal project and now serves as the reference architecture for our client work, which means the more demanding aspects of agent design were worked through on our own systems first.

Questions

AI Assistants for Business FAQs

What does an AI assistant cost to build?

A first assistant starts at £2,750, which represents around four days of work at £690 per day covering integration, safeguards and monitoring. Ongoing support and refinement is available from £400 per month. We agree the fee before work begins.

How does this differ from a chatbot?

A chatbot responds to questions. An assistant carries out work across your systems. If you want something that answers customer enquiries on your website, our AI chatbots service is the right starting point. If you want something that processes the enquiry, updates your CRM and arranges the follow-up, an assistant is what you need.

What controls are in place?

The assistant operates within the permissions you grant, with approval gates on high-value actions, validation rules on the data it handles and thorough testing against your real information before release. It can reach only the systems you connect and perform only the actions you authorise.

Which AI models do you use?

We select according to the work. Frontier models handle steps requiring careful reasoning and more efficient models handle routine ones. Most assistants we build route between several, which keeps running costs considerably lower than using a single premium model throughout.

What are the ongoing running costs?

Model usage is charged on tokens and varies with volume. We estimate this during scoping and design the routing to keep it economical, so you have a realistic figure before committing.

Will it work with our existing systems?

Where your system offers an API, almost certainly. Where it does not, there are usually workable alternatives. It is worth a conversation either way and we will give you a straight answer quickly.
